Conference, Paper & Presentation Registration

Follow the instructions on this page to register for the conference, and to register papers and presentations.

Step 1: Register for the conference. Any person planning to attend the conference must complete this step, even if you are not actually presenting at the conference!.

  1. If you have not already done so, join the national AIAA organization. See AIAA Membership. Then, return to this page.
     
  2. See the Dates and Deadlines Page to find the conference registration opening and closing dates. Please register on time - this information will be used to organize tours, dinners, and determine funding levels for the conference.
     
  3. Click Here to register to attend the conference. In the "Membership Number" field, put your AIAA membership number, or "000000" (six zeroes) if you have not yet received your number. (You may return to this site later to edit your membership number.) Then, return to this page.
     
    Note: A registration fee will be charged at the conference, payable by check or cash - see Registration Fees.
     

Step 2: Submit an Abstract & Obtain a Tracking Number. This step must be completed to register a paper or a presentation.

  1. Choose a category: graduate, undergraduate or team. Designate a lead contact (i.e., one person to register the paper and/or presentation).
     
    1. IMPORTANT: Make sure you register in the CORRECT Category. Specifically, if you are submitting a team presentation, DO NOT register in the undergraduate category!

     
  2. Follow the guidelines in the AIAA Author Kit to prepare an abstract.
     
    1. Your abstract should contain your contact information, university affiliation, category (Undergraduate, Team, or Masters), and the names of all of the authors included on the paper.
       
    2. Remember, all submissions, including team projects, must complete this step. Your abstract will be evaluated to determine that your work is appropriate for inclusion into the conference.

     
  3. The lead contact should:
     
    1. Point their browser to http://www.aiaa.org and click on the "Submit a Paper" link.
       
    2. Select "Start New" and follow the instructions to submit the abstract. When the abstract is submitted successfully, the system will assign a tracking number to your abstract - please record this number for future reference.
       
    3. Then, return to this page.

    Note: all categories require an abstract, including the team category. The deadline for submitting abstracts is February 11th, 2008, 12:00 a.m.
     

Step 3: Add Presentation Information. Lead contacts in all three categories should complete this step.

  1. Click here again. Click the tab called "Presentations."
     
  2. Click the "Add Presentation" link and fill out all the fields.
     
    1. The form includes a field for the tracking ID - this field must be completed for papers and presentations to be judged.
       
    2. Important: You are not actually submitting a powerpoint presentation or anything similar at this step - bring that with you to the conference. All you are doing is filling out the form so the conference organizers can plan the conference.
       
    3. IMPORTANT: You must complete this step by the stated deadline - your paper will not be eligible for scoring until this process is completed!
       

Step 4: Submit Research Paper. Lead contacts in all categories must complete this step;

  1. After obtaining a tracking number (i.e., the abstract has been submitted and accepted), lead contacts can upload the full papers at http://www.aiaa.org by following the "Submit a Paper" link again.
     
    Notes: Papers are required for all categories.

    Papers are limited to 11 pages, single-spaced. If you do not follow this guideline (as well as the others set forth in the Author Kit) your paper risks disqualification

    The deadline for submitting papers is March 17, 2008, 12:00 a.m.

     

Please note: It is important that the abstract and manuscript are submitted by the deadlines. The deadlines are not flexible. If your abstract is not submitted by the deadline, it may not be accepted in time for you to submit your manuscript. For this reason we strongly recommend that you start the submission process as early as you possibly can.

2008 Conference
The 2008 Region V Student Conference will be held at Parks College April 16-18 2008. The St Louis section will host the conference. More details will be listed on the web site as they become available.
 
2008 AIAA Author Kit
Your paper should be prepared according to AIAA Author Kit Guidelines. Please note that the paper can be no longer than 11 pages single column format because this is a student competition. Competition papers (undergraduate, masters) may have up to two authors and list a faculty advisor as co-author.

NASA Undergraduate Internship

New for 2008 Student Conferences

Based on the recommendations of each region’s student conference committee, the Student Paper Conference Chair(s) from each region may nominate one student (per conference) for a summer undergraduate internship at a NASA research center.   Student nominations must be from students who attended and participated in the regional conference as presenters or conference organizers.  Regions are encouraged to make the selection at the regional conference so that the selection may be announced at the conference awards ceremony.  Specific criteria for the selection is left to the Student Paper Conference Chair in coordination with the Chief Judge for the conference.  Along with the name of the student nominee, the Student Paper Conference Chair MUST include the student’s resume, the student’s paper, and a short statement of why the student was selected as that Student Paper Conference’s nominee.  NASA will use internal methods to select one student intern from the submitted resumes and work directly with the student to work out details of the internship.  NASA will also forward the name to the Chairman of the Student Conference Sub-Committee so that regions can be notified of the final selection.
